Roofer quote follow-up

A new roof is one of the biggest jobs a customer will commission, so quotes take a long time to turn into work. Here is how to follow up politely, with templates you can copy.

Why roofer quotes go quiet

  • A re-roof is a large expense, and customers often take weeks to decide or arrange the money.
  • Customers usually get several roofing quotes and compare them, but the quotes are hard to compare because they describe the work differently.
  • Roofing depends on the weather and the season, so the customer may plan to do it "later" and forget.
  • Some jobs involve an insurance claim or a surveyor, which slows the decision down.

In most cases the customer hasn't said no. A short, polite follow-up is often all it takes to continue the conversation.

When to follow up

Because roofing decisions take a long time, space your follow-ups a little wider, for example after four days, ten days and three weeks.

Three follow-up emails for roofers

Replace everything in [brackets] and make it sound like you.

First check-in after a re-roof quote

About 4 days after you send the quote

Subject: Your roofing quote for [address]

Hi [Name], I wanted to check that you received the quote for the roof at [address]. If it would help, I can walk you through the work in the quote, including what is being replaced and what materials are used. Just let me know. Best regards, [Your name] [Company]

Follow-up about timing and the weather

About 10 days after you send the quote

Subject: Planning your roof work

Hi [Name], I'm following up on the roofing quote. Roof work depends on the weather, so if you'd like it done [this season / before winter], it helps to plan it a little ahead. [Add your real availability here, for example: "I'm currently booking work for the second half of November."] If another time suits you better, let me know and we'll work around it. Best regards, [Your name]

When an insurance claim is involved

A few days after they mention an insurer or surveyor

Subject: Your roofing quote and your insurer

Hi [Name], I understand your insurer is involved. If it helps, I can give you a breakdown of the work in the quote and photos from my inspection to share with them. Let me know what they need and I'll get it to you. Best regards, [Your name]

Tips for roofers

Use real availability, not fake urgency

Telling customers when you actually have space is helpful. Inventing a deadline to rush them damages trust.

Offer to explain the quote

Roofing quotes are hard to compare. A short walkthrough of what's included helps your quote stand out.

Follow up after bad weather

A storm or a leak often brings the job back to the customer's mind. A polite check-in then can land at the right moment.

Frequently asked questions

How long do roofing customers take to decide?

It varies a lot. Repairs can be quick, while a full re-roof often takes weeks. Plan to follow up a few times over three to four weeks rather than once.

How do I follow up without sounding pushy?

Offer something useful each time, such as a walkthrough of the quote, photos or a date that works. Avoid repeating the same message.

What if the customer says another roofer is cheaper?

Ask what's included in the other quote. Differences in materials, labour and guarantees are common. Offer to compare them, and don't cut your price straight away.
