Plumber quote follow-up

Bathroom installs and boiler replacements are big decisions, and customers take their time. Here is how to follow up on a plumbing quote politely, with templates you can copy.

Why plumber quotes go quiet

  • A bathroom or boiler job is a big spend, and customers often wait, save up or ask family before deciding.
  • If the old boiler or fitting still works, the customer feels no pressure to act, so the quote slips down the list.
  • Customers compare several plumbers for bigger jobs, often on price alone, because the quotes don't look the same.
  • People get busy, and the quote email simply gets buried.

In most cases the customer hasn't said no. A short, polite follow-up is often all it takes to continue the conversation.

When to follow up

A check-in after three days works well for repairs and smaller jobs. For a bathroom or boiler replacement, give the customer a bit longer between messages.

Replace everything in [brackets] and make it sound like you.

First check-in after a bathroom quote

About 3 days after you send the quote

Subject: Your bathroom quote

Hi [Name], I wanted to check that you received the quote for the bathroom at [address]. If you're still deciding on things like the layout or fittings, I'm happy to talk them through, and I can update the quote if anything changes. Best regards, [Your name] [Company]

Follow-up on a boiler replacement quote

About a week after you send the quote

Subject: Your boiler replacement quote

Hi [Name], I'm following up on the quote for replacing your boiler. If you'd rather plan the replacement for a time that suits you than wait until you have to, tell me roughly when would work and we'll plan around that. I'm also happy to go through the options in the quote. Best regards, [Your name]

Final, no-pressure message

About 2 weeks after you send the quote

Subject: Closing the loop on your quote

Hi [Name], This is my last note about the quote for [job]. I don't want to fill your inbox. If you've gone another way or the timing isn't right, that's fine. Just let me know and I'll close it on my side. If you'd still like to go ahead, reply to this email and I'll find a date. Thank you for considering us. Best regards, [Your name]

Tips for plumbers

Make the options clear

A customer who isn't sure which option to pick often doesn't pick any. Offer to talk them through the choices.

Don't scare customers into booking

Mention practical reasons to plan ahead, but avoid exaggerating risks. Trust matters more than a quick yes.

Keep a record of each quote

Write down when you sent it and when to follow up. Most lost plumbing quotes were never chased.

Frequently asked questions

How long should a plumber wait before following up on a quote?

Three days is a good first follow-up for most jobs. For larger jobs like a full bathroom, wait about a week before the second message.

What if the customer says they'll think about it?

That's a normal answer. Thank them, offer to answer any questions, and say you'll check in again in a few days. Then do it.

Should I offer a discount to win the job?

Only if you want to. Talking about the scope and what's included usually works better than cutting the price, and it protects your margins.
