Painter quote follow-up

Customers often like a painting quote but don't reply while they decide on colours and timing. Here is how to follow up politely, with templates you can copy.

Why painter quotes go quiet

  • Customers are often still choosing colours or finishes, and they don't want to commit until they've decided.
  • Painting is easy to postpone, so the quote waits for a quieter month or until after another project.
  • Customers compare several painters, and quotes differ in how much preparation and how many coats they include.
  • The quote email gets buried, and nobody replies.

In most cases the customer hasn't said no. A short, polite follow-up is often all it takes to continue the conversation.

When to follow up

A check-in after three days works well. Painting jobs are often scheduled weeks ahead, so a second message about timing is natural after about a week.

First check-in after a painting quote

About 3 days after you send the quote

Subject: Your painting quote for [job]

Hi [Name], I wanted to check that you received the quote for painting [rooms / the exterior] that I sent on [date]. If you're still choosing colours, I'm happy to help with ideas or samples before you decide. Just let me know. Best regards, [Your name] [Company]

Follow-up about timing

About 7 days after you send the quote

Subject: When would you like the painting done?

Hi [Name], I'm following up on the painting quote. I'm currently booking jobs for [month], so if you'd like it done around then, let me know and I'll pencil you in. If another time suits you better, tell me and we'll plan around that. Best regards, [Your name]

When they're comparing painters

A few days after they said they'd get other quotes

Subject: Comparing painting quotes

Hi [Name], I understand you're comparing a few quotes, which makes sense. When you compare them, it helps to check how much preparation is included, how many coats, which paint is used, and whether furniture moving, protecting floors and clean-up are covered. I'm glad to go through ours with you. Best regards, [Your name]

Tips for painters

Help with the colour decision

Colour choice is often what holds a customer back. Offering a sample or advice removes that block.

Spell out the preparation

Preparation is where painting quotes differ the most. Explaining it helps the customer see why your price is what it is.

Use real availability

Tell customers which month you can start. It's honest, and it makes it easier for them to choose a date.

Frequently asked questions

How soon should a painter follow up on a quote?

Three days after sending it is a good time. A second message after about a week, and a final one after two weeks, covers most situations.

What if the customer hasn't picked colours yet?

Offer to help, for example with advice or samples. Many customers go quiet because they haven't decided, and a helpful nudge gets things moving.

Should I follow up by text message?

Only if the customer has been replying to you by text. Otherwise stick to email, since it lets them reread the details of the quote.
